The type of personal information we collect

We currently collect and process the following information:
(a) Personal identifiers, contacts and characteristics (for example, name and contact details)
(b) Information relating to your selected rental equipment and it’s setup
(c) Information relating to payments you have made to us through third party payment processors, but not your card details themselves

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:
(a) Administration of your bookings
(b) To meet our obligations under government test and trace programs

We use the information that you have given us in order to administer your booking.

We also receive personal information indirectly, from the following sources in the following scenarios:
(a) Audio recordings of your rehearsal sessions
(b) Audio recordings of your recording sessions
(b) CCTV images

We process audio recordings of your rehearsal sessions in order to provide you with an online audio playback service.
We process audio recordings of your recording sessions in order to provide you with an audio recording service.

We process and store CCTV images for security and prevention of crime purposes.

We may share this information with government test and trace agencies on request,
We may share this information with other members of your group who you have provided details for.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us
(b) administration of your bookings
(C) security and prevention of crime
(d) we have a legal obligation.

How we store your personal information

Online booking and audio data is stored using industry best practice encryption in a physically secure data center.
Temporary audio data used to produce recordings of your recording and rehearsal sessions is stored in a physically secure location.
CCTV images are stored in a physically secure location with password protection.

Our servers are located within the European Union and your data will be transferred to these servers,

We keep booking information indefinitely.
We keep rehearsal audio recordings for up to 2 years, at which point they will be deleted.
We keep recording sessions and accompanying data indefinitely.
We keep CCTV images for a period of up to 6 months, at which point they will be deleted.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
